Privacy policy

Otaku TCG runs this online store at otakutcg.co.za. This policy explains what personal information we collect, why we use it, who we share it with and what your rights are. We follow South Africa's Protection of Personal Information Act (POPIA).
Our store runs on Shopify, so Shopify also handles your information, as explained below.
What we collect
- Contact and delivery details: your name, email address, phone number, and delivery and billing addresses.
- Order details: what you buy or return, and your past orders.
- Account details: if you create an account, your email address and saved addresses. If you sign in with Google, Google shares your basic profile details, such as your name and email address, with us.
- Payment details: our secure payment provider handles your payment. We get confirmation that you've paid, but we never see or store your full card details.
- Messages: what you send us by email or through our contact form.
- Giveaway entries: see the Giveaways section below.
- Device details: your IP address, browser and device type, collected automatically when you visit (see Cookies below).
Why we use it
- To process and deliver your orders, and to handle returns and refunds.
- To run your account.
- To answer your questions and messages.
- To run our giveaways, as explained below.
- To keep the store and your payments safe, and to prevent fraud.
- To meet our legal duties, such as keeping tax records.
- To send you news and offers by email, but only if you sign up. Every email has an unsubscribe link.
Giveaways
Our giveaways run on the Giveaways page, under their own rules. When you enter, the entry form collects:
- your name
- your account email
- the WhatsApp number you joined our group with
- any social media handles you add for bonus entries
We use these details only to check that you can enter that draw: that you're in our WhatsApp group, and that any bonus entries are valid. Your entry is linked to your account so we can contact you if you win.
After entries close, we publish a numbered entry list on the Giveaways page, so anyone can check the draw. It shows only the last 4 digits of each WhatsApp number and stays on the page after the draw. We delete the rest of your entry details after the winner is announced.
Who we share it with
We don't sell your personal information. We only share it when we need to:
- Shopify, which hosts our store, checkout and customer accounts.
- Our secure payment provider, to process your payment.
- Our courier, who gets your name, address and phone number to deliver your order.
- Google and Microsoft, which run Google Analytics and Microsoft Clarity for us (see Analytics below).
- The authorities, when the law requires it.
Shopify
Shopify collects and processes information about how you use our store so it can run and improve its services. Shopify may store your information on servers outside South Africa. You can read how Shopify handles personal information, and the rights you have, at privacy.shopify.com.
Analytics
We use Google Analytics to count visits and see which pages are read and how visitors found the store. It does not receive your name, email address, delivery address or payment details. Google processes this data under its privacy policy and keeps our visit records for 14 months, then deletes them.
We use Microsoft Clarity to see how visitors use the store (where people click and scroll, and anonymised recordings of visits) so we can make it easier to use. Clarity sets cookies and hides sensitive details typed into forms. Microsoft processes this data under its privacy statement.
How to opt out: Google's opt-out browser add-on stops Google Analytics on every site you visit. You can also delete or block the cookies listed below in your browser settings, and a browser or extension that blocks trackers stops both tools from loading. The store works the same without these two tools.
Cookies
Our store uses cookies, small files saved in your browser, to keep your cart, run checkout and keep you signed in. Shopify also sets its own cookies to keep the store secure and working. Google Analytics sets cookies whose names start with _ga (up to two years) to recognise a browser that has visited before. Microsoft Clarity sets _clck (up to a year) and _clsk (one day) to join the pages of a visit together, and Microsoft may set cookies of its own. You can block cookies in your browser settings, but the cart and checkout may not work properly.
How long we keep it
We keep order records for as long as tax and accounting laws require. We keep your account details while your account is open. Giveaway entry details are deleted after the winner is announced, apart from the numbered list on the Giveaways page, which shows only the last 4 digits of each number.
Keeping it safe
Our store and checkout run on Shopify's secure platform. No system is perfectly secure, though, so please don't send us card details by email.
Children
Many card collectors are young. If you're under 18, please get a parent's or guardian's permission before you give us your details, for example when you order, create an account or enter a giveaway. If you're a parent or guardian and think your child gave us their details without your permission, email us and we'll delete them.
Your rights
Under POPIA, you can ask us to:
- tell you what personal information we hold about you and give you a copy
- correct information that's wrong
- delete your information, unless the law requires us to keep it
- stop using your information for marketing
You can also object to how we use your information. Email us at hello@otakutcg.co.za. We may need to confirm who you are before we act on a request.
Complaints
If you're unhappy with how we've handled your information, email us first and we'll try to put it right. You can also complain to the Information Regulator (South Africa) at inforegulator.org.za.
Links to other sites
Our store links to other sites and apps, such as our WhatsApp group. Their own privacy policies apply when you use them.
Changes to this policy
We may update this policy. When we do, we'll post the new version here and change the date at the top.
